1. Your Data Belongs to You
CostLoop is committed to data portability. The subscription records, costs, renewal dates, notes, and documents you add to CostLoop are yours. You should always be able to access, download, and move your data - whether you're switching tools, creating a backup, or exercising your GDPR rights.
We make this easy with a built-in CSV export available to all Pro plan users.
2. What You Can Export
The export includes all subscription records stored in your CostLoop account, delivered as a standard CSV (comma-separated values) file. CSV is a widely supported format that can be opened in Microsoft Excel, Google Sheets, Apple Numbers, or any spreadsheet application, and imported into most other tools.
3. How to Export Your Data (Pro Plan)
Follow these steps to download your data:
- Sign in to your account at app.costloop.app.
- Go to your main dashboard (the subscriptions list view).
- Click the "Export CSV" button. Depending on your screen size, this may be in the top toolbar or accessible via a menu.
- Your browser will download the file automatically. The filename will include the export date for easy reference.
The export is generated in real time and includes all records currently in your account.
4. Free Plan and Export Access
CSV export is available on the Pro plan. If you are on the Free plan and need to export your data, you have two options:
- Upgrade to Pro to unlock the export feature. See Pricing for details.
- Contact us at [email protected] if you need a data export for the purpose of exercising your GDPR right to data portability. We will process your request manually at no charge.
5. Fields Included in the Export
The CSV export contains the following fields for each subscription record:
- Subscription name
- Vendor / provider name
- Cost (amount and currency)
- Billing cycle (monthly, annual, etc.)
- Renewal date
- Status (active, cancelled, pending, etc.)
- Owner name
- Owner email
- Category
- Cancellation link URL
- Notes
- Document URLs
6. Using Your Export
Once downloaded, your CSV can be:
- Opened in any spreadsheet application for analysis or reporting
- Imported into another subscription tracker or expense management tool
- Stored as a backup of your subscription data
- Shared with your finance team or accountant
7. GDPR Right to Data Portability
This export feature supports your right to data portability under GDPR Article 20, which gives you the right to receive personal data you have provided to a controller in a structured, commonly used, and machine-readable format.
