1. Acceptance of Terms
These Terms of Service ("Terms") are a legal agreement between you and Antevski ENK, Org. No. 934 334 507, Harry Fetts Vei 5B, 0667 Oslo, Norway, operating as CostLoop ("CostLoop", "we", "us", or "our"). By creating an account, clicking to accept, or using CostLoop, you agree to these Terms. If you use CostLoop for an organisation, you confirm that you are authorised to bind it.
Our Privacy Policy, Refund and Cancellation Policy, and, where applicable, Data Processing Agreement are incorporated by reference. Participation in the affiliate program is also subject to the separate Affiliate Program Terms.
Where you use CostLoop to store or process personal data relating to your employees, contractors, or team members, the Data Processing Agreement (DPA) applies and is incorporated by reference into these Terms. The DPA governs CostLoop's role as a data processor on your behalf for that data.
You must be at least 18 years old and legally able to enter into these Terms.
2. Description of the Service
CostLoop is a web-based subscription and recurring-cost tracking service. Features may include workspaces, software and license records, renewal reminders, imports, browser-extension tools, APIs, referral attribution, and an affiliate program. Available features depend on your plan and may change over time.
CostLoop is an organisational tool, not accounting, tax, legal, procurement, or financial advice. You are responsible for verifying records, renewal dates, detected subscriptions, and business decisions.
CostLoop is operated by Antevski ENK, Org. No. 934 334 507, Harry Fetts Vei 5B, 0667 Oslo, Norway. The application is accessible at app.costloop.app.
3. Account Registration
You must provide accurate, current information and keep it updated. You are responsible for account credentials, actions taken through your account, and the people you invite to a workspace. You must notify us promptly at hello@costloop.app if you suspect unauthorised access.
Workspace administrators may add or remove members, assign roles, and access or manage workspace content. If you join a workspace, the administrator's actions may affect your access and the data available to you.
- Do not share credentials or use another person's account without permission.
- Do not create accounts using false identities or information you are not authorised to provide.
- Do not use the service if applicable law prohibits you from doing so.
4. Subscription Plans
CostLoop may offer free and paid plans. Current features, limits, billing intervals, and prices are shown on the Pricing page and at checkout. Paid plans are charged in United States dollars (USD) unless checkout expressly states otherwise.
We may change plans or prices prospectively. If a price increase affects an existing recurring subscription, we will give notice required by applicable law or the terms shown when you subscribed. You may cancel before the new price takes effect.
5. Payments and Billing
Stripe processes payments, subscriptions, invoices, refunds, and disputes. By starting a paid plan, you authorise CostLoop and Stripe to charge the payment method provided at checkout for the recurring price, applicable taxes, and any clearly disclosed charges.
- Renewal. Paid subscriptions renew automatically at the interval selected at checkout until cancelled.
- Cancellation. You may cancel through account billing settings. Cancellation stops future renewal and normally takes effect at the end of the paid billing period.
- Refunds. Fees are generally non-refundable and are not prorated, except as stated in the Refund and Cancellation Policy or required by mandatory law.
- Taxes. Prices may exclude VAT, sales tax, or similar charges. You are responsible for taxes charged to you, except taxes based on CostLoop's income.
- Failed payments. We may retry a failed charge, ask you to update payment details, limit paid features, or suspend the account until amounts due are paid.
- Disputes. Before filing a chargeback, please contact hello@costloop.app so we can investigate. This does not waive rights that cannot legally be waived.
6. Acceptable Use
You agree to use CostLoop only for lawful purposes and in accordance with these Terms. You must not:
- Use the service for any illegal or fraudulent activity.
- Access, probe, test, scan, scrape, copy, or extract the service or data by automated means except through an authorised API or with our written permission.
- Attempt to bypass plan limits, security measures, rate limits, authentication, or access controls.
- Upload, store, or transmit any content that is unlawful, harmful, or infringes on the rights of others.
- Transmit malware, interfere with the service, overload infrastructure, or disrupt another user's access.
- Reverse engineer, decompile, or attempt to derive source code except where applicable law expressly permits it.
- Use CostLoop to send spam, facilitate deceptive marketing, infringe privacy rights, or impersonate another person or organisation.
- Resell, sublicense, or provide the service to third parties except under a plan or written agreement that allows it.
We may investigate suspected violations and preserve or disclose information where reasonably necessary to secure the service, enforce these Terms, or comply with law.
7. Intellectual Property
CostLoop, its name, logo, design, and all content produced by Antevski ENK (including documentation, user interface elements, and marketing materials) are owned by or licensed to Antevski ENK and are protected by applicable intellectual property law.
You retain ownership of data and content you submit ("User Content"). You grant CostLoop a non-exclusive, worldwide licence to host, copy, transmit, display, and otherwise process User Content only as needed to provide, secure, support, and improve the service and to comply with law. You confirm that you have the rights needed to provide User Content and instructions to us.
If you provide feedback, you allow us to use it without restriction or payment, but we will not publicly identify you as its source without permission.
8. Email Integration & Connected Accounts
Users may optionally install the CostLoop Email Scanner browser extension and connect a Gmail or Outlook account. By doing so, you grant read-only OAuth access to the inbox you authorize. The scanner reads sender address, subject line, date, and provider message ID from scanned messages, and may process the text or HTML content of messages it identifies as likely billing emails. Email content is used during the scan and is not stored or shared. Only derived subscription details you choose to import are saved to your account. Detection results are heuristic and require your review before import.
You can revoke access from CostLoop or through the provider's account settings. Provider availability and permissions are controlled partly by Google or Microsoft and may change. Detection is automated and may be incomplete or inaccurate; you must review suggestions before saving or acting on them.
Use of the Gmail integration is subject to Google's Terms of Service. CostLoop's use of Google API data complies with the Google API Services User Data Policy, including the Limited Use requirements. Use of Outlook integrations is subject to the applicable Microsoft account and Microsoft Graph terms.
9. Usage Monitor
The browser extension may include an optional Usage Monitor feature. Usage Monitor is disabled unless you choose to use it. If enabled and you start a usage scan, the extension may request the browser History permission so it can check your selected scan window locally against subscription website domains saved in CostLoop.
Usage Monitor does not upload full browsing history, unrelated URLs, page titles, page content, search queries, form submissions, passwords, payment details, emails, or chats. CostLoop stores only derived results such as the related subscription, whether a tracked domain was found, the latest matching activity timestamp, and the scan window.
You can disable Usage Monitor, choose monitored subscriptions, disconnect the extension to clear local monitoring state, and revoke the browser History permission from your browser's extension settings.
10. Third-Party Services
CostLoop relies on third-party services, including Supabase for authentication and database infrastructure and Stripe or Stripe Connect for billing and payouts. Your use of a third-party service may be subject to that provider's terms and privacy notice. We are not responsible for a third party's independent acts, service changes, or outages, but this does not limit obligations we cannot exclude by law.
11. Suspension, Termination, and Data
You may stop using CostLoop and request account deletion at any time. We may suspend or terminate access if you materially breach these Terms, create security or legal risk, fail to pay amounts due, or use the service in a way that could harm CostLoop or others. Where reasonable, we will give notice and an opportunity to fix the issue.
After termination, your right to use the service ends. Provisions that by their nature should continue will survive, including payment obligations, intellectual property, disclaimers, indemnity, liability limits, and dispute terms. You should export needed data before closing an account. Data handling after closure is described in the Privacy Policy.
12. Service Availability and Changes
We aim to keep CostLoop available, but we do not promise uninterrupted or error-free operation unless a separate written service-level agreement says otherwise. Maintenance, third-party failures, security events, internet conditions, and circumstances beyond our reasonable control may affect availability. We may add, change, limit, or discontinue features. If a change materially reduces a paid service, we will provide notice or a remedy where required by law.
13. Disclaimers
CostLoop is provided "as is" and "as available" without warranties of any kind, express or implied. We do not guarantee that the service will be uninterrupted, error-free, or free from security vulnerabilities.
To the maximum extent permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy. Renewal reminders, imported records, scanner results, exchange-rate displays, and usage indicators may be delayed, incomplete, or inaccurate. You remain responsible for checking vendor contracts, invoices, cancellation deadlines, and payment obligations.
14. Indemnity
If you use CostLoop for business purposes, you will indemnify and hold Antevski ENK harmless from third-party claims, losses, and reasonable costs arising from your unlawful use of the service, your User Content, your infringement of another person's rights, or your material breach of these Terms. This clause does not apply to the extent a claim was caused by CostLoop's breach, negligence, or wilful misconduct, and it does not reduce mandatory consumer rights.
15. Limitation of Liability
To the maximum extent permitted by applicable law, Antevski ENK's total liability to you for any claim arising from or relating to your use of CostLoop - whether in contract, tort (including negligence), or otherwise - is limited to the total amount you have paid for the service in the 12 months immediately preceding the claim.
In no event will Antevski ENK be liable for indirect, incidental, consequential, or punitive damages, including loss of profits, data, or business opportunities, even if we have been advised of the possibility of such damages.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by Norwegian law.
16. Governing Law and Dispute Resolution
These Terms are governed by the laws of Norway, without regard to conflict-of-law principles. Before starting formal proceedings, each party agrees to give the other written notice of the dispute and allow 30 days to try to resolve it informally.
If a dispute is not resolved, the courts of Oslo, Norway will have jurisdiction, except where mandatory consumer law allows you to bring a claim in another competent court. Mandatory consumer, payment, and privacy rights that cannot be waived remain unaffected.
17. Changes to These Terms
We may update these Terms as the service or law changes. If a change materially affects existing users, we will provide reasonable advance notice by email, in-product notice, or another appropriate method. Changes apply prospectively from their stated effective date.
Your continued use of CostLoop after the effective date of any changes constitutes acceptance of the revised Terms. If you do not agree to the updated Terms, you should cancel your account before the changes take effect.
