1. Your Right to Delete Your Account
You have the right to permanently delete your CostLoop account and all associated personal data at any time. This is part of your right to erasure under the General Data Protection Regulation (GDPR), and we make it straightforward to exercise this right.
Account deletion is immediate and permanent. Once confirmed, your data cannot be recovered.
2. What Gets Deleted
When you delete your CostLoop account, the following data is permanently removed from our systems within 30 days of your deletion request:
- Your email address and account credentials
- All subscription records you have created, including costs, renewal dates, notes, and document links
- Your notification preferences and other account settings
- Any saved team members, categories, or custom fields
- Your billing plan preferences stored in CostLoop
What is not deleted: Stripe, our payment processor, retains billing history and transaction records in accordance with their own data retention policies and applicable legal requirements (typically up to 7 years for financial records). We cannot delete this data on Stripe's behalf. For details, see Stripe's Privacy Policy.
3. How to Delete Your Account
Follow these steps to delete your CostLoop account:
- Sign in to your account at app.costloop.app.
- Navigate to Settings (click your avatar or account menu in the top right).
- Scroll to the "Delete account" section at the bottom of the Settings page.
- Click "Delete my account" and follow the confirmation prompt. You will be asked to confirm by typing your email address or a confirmation phrase.
Warning: This action is permanent and cannot be undone. All your subscription data will be lost. We strongly recommend exporting your data before deleting your account.
4. After Deletion
Once you confirm account deletion:
- You will be signed out immediately and your account will no longer be accessible.
- You will receive a confirmation email acknowledging your deletion request.
- All data will be permanently deleted from our systems within 30 days.
- You will not receive any further emails from CostLoop (other than the deletion confirmation).
5. If You Have an Active Pro Subscription
If you are on the Pro plan at the time of deletion, we recommend cancelling your subscription first to avoid any unexpected renewal charges:
- Go to Settings → Billing → Cancel subscription.
- Wait for cancellation confirmation.
- Then proceed with account deletion as described above.
If you delete your account without cancelling first, your subscription will be cancelled automatically, but you may not receive a refund for any unused portion of the current billing period. See our Refund Policy for details.
