One operating view for software spend, owners, and renewal decisions
Stop reconstructing your software budget from card statements and email threads. CostLoop gives finance and operations teams a live spend total, a clear owner for every subscription, and a request-and-approval step before a new tool gets added.
Why software spend is hard to control from finance or ops
Budget reconciliation takes hours
Software spend spreads across cards, departments, and one-off approvals. Building an accurate total means chasing down statements and asking around before every budget review.
Ownership is unclear
A tool with no clear owner doesn't get reviewed, renewed on purpose, or cancelled when it's no longer needed. It just keeps renewing on its own.
New tools appear without visibility
A team member signs up for a free trial that quietly converts to a paid plan. Finance finds out at the next statement, not before the charge happens.
Why finance and operations teams use CostLoop
CostLoop turns scattered software spend into one current view, with a clear path for who owns what and who approves what's new.
- One dashboard with total monthly and annual software spend, always current
- Every subscription is assigned an owner, so accountability doesn't default to finance by omission
- Business plan requests and approvals - team members request new tools, admins approve or decline before they're added
- Renewal calendar and reminders so budget decisions happen ahead of the charge, not after it
- Health score and savings-opportunity signals flag subscriptions worth a closer look
- CSV export for use in your own budget spreadsheet, plus REST API and webhooks on Business for connecting to Power BI or internal reporting tools
- No bank connections or corporate card required - import a bank/card statement file instead
CostLoop vs reconstructing spend manually
Most finance and ops teams start by pulling numbers from statements every review cycle. Here's what changes with one always-current system of record.
| Factor | CostLoop | Statements + spreadsheet |
|---|---|---|
| Always-current spend total | Yes | Rebuilt each review cycle |
| Ownership tracked per subscription | Yes | Tribal knowledge |
| Visibility before a new tool is purchased | Yes, with Business approvals | Usually after the statement arrives |
| Renewal decisions made ahead of the charge | Yes | Reactive, after the fact |
| Exportable for reporting | CSV, plus REST API/webhooks on Business | Manual re-entry |
When this is worth setting up
Not every team needs a dedicated system yet - here's a quick gut check.
Use CostLoop if...
- You rebuild your software spend total by hand before every budget review
- More than one person can add a new subscription without finance knowing
- You've asked "who owns this tool" and gotten no clear answer
- You want visibility before the next card statement, not after
You might not need it yet if...
- One person already owns all software purchasing and reviews it regularly
- Your software stack is small enough to cover in a single conversation
CostLoop's free plan covers up to 5 subscriptions, so it's worth setting up before the stack outgrows one person's memory.
Frequently asked questions
Can finance see every subscription without owning each purchasing decision?
Yes. CostLoop separates who owns or uses a tool from who has visibility into it. On the Business plan, admins get a business panel view and admin-level dashboard across the whole team's subscriptions, while individual owners stay responsible for their own tools.
Does CostLoop replace our accounting system?
No. CostLoop is not an accounting or bookkeeping platform. Use CSV export, or the REST API and webhooks on the Business plan, to feed subscription and cost data into the accounting or reporting tool you already use.
Can team members request new software without immediately buying it?
Yes, on the Business plan. Team members can submit a real-time subscription request, admins receive an instant email notification, and the request is approved or declined before it becomes part of the tracked stack.
Do we need to connect a bank account or corporate card?
No. CostLoop never connects to your bank account or requests banking credentials. Import a bank or card statement file (CSV or PDF), add subscriptions manually, or use the optional Chrome extension to scan Gmail or Outlook for billing emails.
Can we connect CostLoop to our own reporting tools?
Yes. The Business plan includes REST API access for connecting to Power BI and internal reporting tools, plus webhooks for real-time subscription event notifications. The Pro plan includes CSV export for use with any spreadsheet or accounting tool.
